Human capital management software (HCM software) runs the whole employee journey on one system, from job offer to final settlement: hiring, records, attendance, leave, payroll, performance and self service. In Saudi Arabia it also has to follow local payroll and workforce rules. WASNA Digital Solutions helps organisations choose, implement and support HCM that does. Two parts have pages of their own: payroll software for Saudi employers and attendance management software.
HCM software is the system an organisation uses to manage its people as one connected process rather than a set of separate files. A recruiter’s offer becomes an employee record. That record drives attendance, leave and payroll, and later holds performance goals, documents and the final settlement.
The practical gain is consistency. When payroll, attendance and leave read from the same record, a salary change or a renewed iqama number is updated once instead of in three spreadsheets, and managers approve requests in the same place employees raise them.
| Term | What it usually covers | Typical fit |
|---|---|---|
| HRIS | Employee data: contracts, job titles, salaries, documents | Small teams that mainly need a clean employee database |
| HRMS | HRIS plus daily processes: payroll, attendance, leave | Organisations automating routine HR administration |
| HCM | HRMS plus talent processes: recruitment, onboarding, performance, workforce reporting | Growing or multi-entity organisations that want one system for the full lifecycle |
Vendors use these terms loosely, so compare modules rather than labels.
Payroll software built for other markets often struggles with Saudi rules. Whichever platform you shortlist, test it against these requirements using your own employee data.
Contributions are calculated on the contributory wage, which is basic salary plus housing allowance up to a monthly ceiling. Saudi and non-Saudi employees are covered differently. Saudi employees who joined the system for the first time on or after 3 July 2024 fall under the New Social Insurance Law, with pension contributions rising in annual steps, while those registered earlier stay on the previous rates. The software has to apply the right rule to each employee, not to the company as a whole.
Employers submit salary data through Mudad to show staff were paid in full and on time. Rejections usually come from data mismatches, such as an old iqama number or a changed bank account. Generating the WPS file from the same payroll run as the payslips removes most of those mismatches.
Under Articles 84 and 85 of the Saudi Labour Law, the award is half a month’s wage for each of the first five years of service and a full month’s wage for each year after that. When an employee resigns, the entitlement depends on length of service:
| Length of service | Award if the employee resigns |
|---|---|
| Less than 2 years | No award |
| 2 to less than 5 years | One third |
| 5 to less than 10 years | Two thirds |
| 10 years or more | The full award |
Good HCM software accrues this liability every month, so finance sees the cost long before anyone leaves.
Your Nitaqat band depends on the share of Saudi nationals in your workforce, and it moves every time someone joins or leaves. A live Saudisation figure lets HR plan hiring before a band change affects visas or transfers.
Employment contracts are documented on Qiwa and residency records sit on Muqeem. HCM should hold contract dates, iqama numbers and expiry alerts in the employee file. Teams handling a high volume of visa and iqama cases usually add digital Iqama management software for the case workflow itself.
A Hijri year is about 11 days shorter than a Gregorian year, so leave accruals and service thresholds calculated on the wrong calendar drift over time. Employees should also be able to use the portal and mobile app in Arabic or English, with a right-to-left layout that works properly rather than translated menus.

Most HR problems in growing Saudi organisations trace back to one cause: employee data held in too many places.
Salaries are assembled in spreadsheets and errors surface only after payment, when correcting a deduction can take weeks.
Site crews and shift teams clock in on devices or paper, and someone retypes the hours before payroll.
Contributions, salary files, end of service and Saudisation sit in separate workbooks, so an audit means rebuilding the record.
Managers cannot see the candidate pipeline, the time to hire or where applicants drop out.
Annual appraisals live in documents with no link to goals, pay or training.
The team spends its week answering questions about payslips, leave balances and salary letters.
These are the modules a Saudi organisation should expect a complete platform to cover. Use them as a baseline when comparing vendors.
| Capability | What to expect |
|---|---|
| Core HR and organisation structure | Legal entities, branches, departments, grades, cost centres and approval chains in one structure. |
| Payroll | Allowances, deductions, loans, overtime and statutory contributions calculated in one run. |
| Attendance and timesheets | Biometric, web or mobile clock-in linked to shifts and overtime, with hours booked to projects and cost centres. |
| Leave management | Annual, sick, Hajj, maternity and other leave types, with rules and balances applied automatically. |
| Recruitment and onboarding | Requisitions, applicant tracking, interviews, offer approvals and joining checklists. |
| Performance management | Goals, KPIs and appraisals connected to reward and training decisions. |
| Employee self service | Payslips, leave requests, letters and profile updates on web and mobile. |
| Documents and expiry alerts | Iqama, passport, contract and licence records with reminders before they lapse. |
| End of service | Monthly accrual and final settlement calculation. |
| Reporting | Headcount, people cost, turnover and Saudisation dashboards. |
Large site crews across many projects. HCM links site attendance and man hours to each project’s cost code and keeps iqama and contract records current for every worker.
Round-the-clock rosters across several facilities, overtime, and professional licences that must be valid before a shift is worked.
Clear approvals, a full audit trail of every HR action, and continuity when staff change roles.
Role-based access, controlled approval workflows and clean reporting for internal and external audit.
WASNA Digital Solutions lists one HCM platform today. Others are added only after we evaluate them for Saudi organisations and confirm our team can implement them.

Demos are built to look good. These checks show whether HR software in Saudi Arabia will hold up in your first live payroll month.
| Check | What to ask for in the demo |
|---|---|
| Saudi payroll rules | Run a sample month with Saudi and non-Saudi employees, including a mid-month joiner and a resignation. |
| Salary file | Generate the WPS file from that same run and compare it with your current file. |
| End of service | Calculate a resignation at three years and at seven years, and check the amounts against the Labour Law scale. |
| Arabic interface | Complete a leave request and open a payslip in Arabic on a phone. |
| Multi-entity setup | Show two commercial registrations with separate payroll and shared reporting. |
| Data hosting and data protection | Ask where Saudi employee data is stored, which certifications are current, and how the vendor supports your obligations under the Personal Data Protection Law (PDPL). |
| Integrations | Ask how payroll journals reach your ERP and how attendance devices connect. |
| Local support | Ask who you call after go live, and at what point the vendor gets involved. |
Human capital management companies that cannot run these scenarios on your data are telling you something before you sign. Our neutral buyer’s guide to choosing HR software walks through the full six-step process.
1
We document headcount, entities, pay rules, approval chains and the tools you use today.
2
We compare your requirements with the platform we carry and tell you plainly where it fits and where it does not.
3
The demo runs your own cases from the evaluation table above.

Modules, deployment, data migration, training and timeline are agreed in writing before any commitment.
Pricing depends on employee numbers, modules, cloud or on-premises deployment, integrations and implementation effort. Cloud HCM is commonly priced per employee per month, with implementation and data migration quoted separately. WASNA Digital Solutions sends a written quote after scoping.
It depends on headcount, the number of legal entities, the modules chosen and how clean your current data is. A single entity moving from spreadsheets is quicker than a group consolidating several systems. Most projects go live in phases, starting with core HR and payroll.
Usually, but the method varies: a standard connector, an API or a scheduled file. Ask which applies to your ERP version and whether the vendor has done it for another customer.
It can be, provided the vendor can prove it. Ask where data is hosted, which certifications are current, and how the platform supports your obligations under the PDPL.
An HRMS may be enough for one entity with simple pay rules. HCM earns its place when you add entities, hire regularly, or want performance and workforce reporting on the same record as payroll.
Yes. Plan the cut-over around a payroll month end and bring across year-to-date figures, leave balances and end of service accruals, so nothing restarts from zero.
Tell us your headcount, locations and current HR tools. We will map your requirements and show you whether Infinigent HCM fits, using your own payroll scenarios.
A consultant will get back to you to book a scoping call.
